What you'll accomplish
Your tracker says the budget is late, your fourth reminder sounds curt, and you have eleven more to send. You will save a Gemini Gem that holds your reminder style and a few of your own sample reminders. After that, a line of notes turns into a polite, specific email that names the item, the date and what it holds up. You read the draft, check it against the tracker and send it from your own email.
Note on Gems. Google's help page says Gems are being replaced by skills: from November 2026 for personal accounts and from March 2027 for Workspace business, enterprise and non-profit accounts. Existing Gems are recreated as skills automatically, so the instructions you write here carry over.
What you'll need
Data caution. Reminders name people and awards, so use codes in your notes ("PI A", "Award 1") and add the real names in your own email program after the draft. Leave out salaries, effort and personal details. Check your institution's AI guidance and whether Gemini is an approved tool, and look at your account's activity settings to see whether chats are saved or used to improve models. The setup itself, with invented samples, works without any institutional data.
Open a blank document and write down how you want a reminder to sound. Cover these points:
Copy reminders you have actually sent. Replace names with codes and dates with [date]. Samples teach tone better than adjectives do.
What you should see: A Gem editor with a place for a name and instructions. Google's transition page also mentions a "Knowledge" area where a Gem can hold files. Troubleshooting: If Gems is missing, your account type may not have it yet. Check Google's Gems-to-skills page for your account type.
Paste the text below and replace the bracketed parts with your samples.
You turn an administrator's short notes into a reminder email to a faculty member or department contact.
Style:
- Polite, specific and short.
- Name the item and the date exactly as given in the notes.
- Say in one clause what the item holds up.
- Offer to help.
- No blame. Do not invent a rule, a policy or a consequence.
- If the notes lack a date or an item, write [date] or [item] and do not guess.
- Leave a [name] placeholder for the greeting.

What you should see: Your instructions saved in the Gem. Troubleshooting: If drafts come back too long, add "Maximum 90 words" to the style list.
Second reminder:

Report reminder:
